Add Descriptions to Public Groups and Queues with Winter ’25 Release

As a Salesforce Admin, one of the best practices is utilising description fields effectively. It’s a simple yet powerful way to keep your organisation well-documented and ensure clarity across teams. The Winter ’25 release introduces a valuable update that takes this best practice a step further: You can now add descriptions to public groups and queues when you create or edit them!

Why Descriptions Matter:

When managing public groups or queues, it’s easy for their purpose or role to get lost in translation, especially in larger organisations with multiple teams and complex workflows. By adding a description, you provide a quick and easy way for team members to understand:

  • The purpose of the group or queue
  • Key responsibilities or functions
  • Any specific rules or criteria associated with the group

This feature minimises confusion, reduces the chances of misuse, and improves overall transparency.

How to Use It:

When creating or editing a public group or queue, you’ll now see a Description Field available. This is your space to provide a brief, clear overview of what the group or queue does. Whether it’s a sales team queue for high-priority leads or a public group for a specific project, including a description will help everyone quickly understand its function.

Where it is:

From Setup, in the Quick Find box, enter Public Groups, and then select Public Groups. Create a new public group or choose an existing one. Then edit the Description field.

Benefits for Your Organization:

  • Enhanced Communication: Adding descriptions to public groups and queues ensures that everyone, from admins to end users, knows the intent and purpose behind them.
  • Easier Onboarding: New team members can quickly familiarise themselves with the groups and queues in use without needing to ask around, thanks to the descriptions.
  • Reduced Mismanagement: By clearly documenting the function of each group or queue, the risk of assigning the wrong members or using a group incorrectly is minimised.

A Simple, Yet Powerful Update.

This update is a reminder that even small changes can have a significant impact on how efficiently teams operate within Salesforce. By encouraging better documentation, Salesforce continues to help admins ensure their orgs run smoothly and effectively.
